Job Description

The Data Entry Clerk will be responsible for accurately inputting, updating, and maintaining various types of data into our company's systems and databases. The ideal candidate is a quick learner with a keen eye for detail, capable of working efficiently to meet deadlines while maintaining the highest standards of data quality.

Data Entry Clerk Responsibilities

  • Data Verification and Validation: Reviewing and checking data for errors, inconsistencies, or missing information before and after entry. This often involves comparing the entered data against the original source.
  • Updating Existing Records: Modifying and updating existing data in the system to ensure all information is current and correct (e.g., changing a customer's address, updating inventory levels).
  • Data Maintenance and Quality Control: Performing regular checks and audits of databases to identify and correct outdated, duplicate, or inaccurate information to ensure data integrity.
  • Transcribing Information: Converting information from audio recordings (e.g., meeting notes, dictation) or handwritten notes into a digital, typed format.
  • Data Retrieval and Reporting: Locating and pulling specific records or data from the database as requested by supervisors or other team members. May involve generating simple reports.
  • Organizing Files: Maintaining an organized system for both physical and electronic files to ensure easy retrieval and storage.
  • Scanning and Uploading: Using scanners to create digital copies of physical documents and uploading them to the appropriate digital filing system.
  • Following Data Integrity Protocols: Adhering strictly to company policies and procedures regarding data security, confidentiality, and privacy (especially important with sensitive customer or financial information).

Data Entry Clerk Requirements

  • Hardware: A personal computer (desktop or laptop) that is less than 5 years old and meets the company's minimum processing (e.g., Intel i5 or equivalent), RAM (8GB+), and operating system requirements
  • Internet Connection: A stable, high-speed internet connection.is mandatory. Minimum speeds are often required (e.g., 25 Mbps download/5 Mbps upload minimum). A wired Ethernet connection is strongly preferred over Wi-Fi for stability.
  • Education: High school diploma or equivalent (GED).
  • Typing Speed & Accuracy: A minimum typing speed of 40-50 Words Per Minute (WPM). Accuracy is often even more critical than raw speed.
  • Computer Literacy: Proficiency with basic computer operations and operating systems (Windows or macOS).
  • Software Proficiency Demonstrated experience with Microsoft Office Suite, specifically: Excel: Ability to navigate spreadsheets, enter data, and use basic functions. Word: Ability to format documents and type efficiently.
  • Attention to Detail: The proven ability to spot and correct errors, ensuring data is entered correctly the first time.
  • Organizational Skills: The ability to manage multiple tasks, prioritize work, and maintain organized physical and digital files.
  • Time Management: The ability to work efficiently, meet deadlines, and maintain productivity with minimal supervision.
  • Focus and Concentration: The ability to perform repetitive tasks for extended periods without a decline in accuracy.
  • Reliability & Dependability: A strong work ethic and a history of punctuality and consistent performance.
  • Confidentiality: A strong sense of discretion for handling sensitive or private information.
  • Troubleshooting: Basic ability to troubleshoot common computer, headset, and internet issues independently.
  • Self-Motivation & Discipline: Ability to work independently without direct supervision, manage time effectively, and stay focused and productive in a home environment.
  • Resilience & Stress Management: Ability to handle repetitive work, rejections (in sales), and difficult customers without becoming frustrated.
  • Problem-Solving: The initiative to identify discrepancies in source data and know when to ask for clarification.
  • Age Requirement: Must be 18 years or older
